This policy explains how NowOperator Inc. handles information through Operator websites, business accounts, HVAC estimate and booking tools, and related services.

This Privacy Policy applies to websites, dashboards, estimate widgets, booking workflows, messaging features, APIs, and related services operated by NowOperator Inc., doing business as Operator (the "Services").
When an HVAC company uses Operator to collect an estimate, booking, lead, or message, that HVAC company generally controls the customer relationship and how the information is used. Operator processes the information to provide software to that company. Operator separately determines how it uses information for its own accounts, support, security, website operations, business communications, and legal obligations.
We may disclose information to the HVAC company and authorized agency associated with a workflow; vendors that help provide hosting, database, authentication, storage, communications, analytics, error monitoring, AI, address or property information, email, and support; integrations enabled by a Customer; professional advisers, authorities, and transaction counterparties when appropriate; and recipients directed by a user or Customer.
Depending on the features enabled, providers may include Supabase, Vercel, Google, ATTOM, ServiceTitan, Twilio, PostHog, Sentry, OpenAI, Anthropic, Resend, Meta, Yelp, Thumbtack, Slack, or similar providers. A provider is involved only when its relevant feature or integration is used or configured.
We do not sell personal information for money. Customer-configured advertising or conversion tools, such as Meta Pixel or Google Ads, may involve targeted advertising or "sharing" under some privacy laws. The Customer is responsible for its advertising configuration, and available choices depend on applicable law and the production configuration.
We use cookies, local storage, session storage, and similar technologies for authentication, security, routing, preferences, in-progress workflows, analytics, and reliability. Depending on configuration and applicable choices, Operator may use Google Analytics, PostHog, and Sentry. An HVAC company may configure Meta Pixel, Google Ads conversion tracking, or similar tools in its workflow.
Browser settings can block or delete storage, although doing so may prevent login, reset preferences, or interrupt an estimate or booking. Where a privacy-choice control is provided, it can be used to manage non-essential technologies. We apply legally required browser opt-out signals to applicable Operator-controlled processing.
Some features may send relevant inputs to AI providers to generate, classify, or map content. AI outputs can be inaccurate. Users should not submit unnecessary sensitive information or rely on AI for emergencies, final diagnosis, final pricing, financing decisions, or other professional advice.
Customer data is used to operate the requested feature. We do not use identifiable Customer or homeowner content to train a general-purpose AI model for unrelated purposes unless the relevant Customer expressly agrees.
Retention varies by record and Customer instructions. We generally keep information while reasonably needed to provide the Services, maintain accounts and business records, address security or disputes, comply with law, and honor opt-outs.
The period may depend on the subscription and last interaction, the sensitivity and purpose of the information, technical backup cycles, integration requirements, legal obligations, and whether the information is needed to establish or defend legal claims. We delete or de-identify information when it is no longer reasonably needed, subject to those considerations.
We use measures intended to reduce the risk of unauthorized access, loss, misuse, alteration, or disclosure. No online service can guarantee security.
Customers are responsible for their authorized users, credentials, devices, account configuration, and integrations and should promptly notify us of suspected unauthorized access.
Depending on where you live, you may have rights to request access, correction, deletion, or a copy of personal information, or to opt out of certain targeted advertising, sale, or sharing. These rights are subject to exceptions and may not apply in every circumstance.
Requests may be sent to hello@nowoperator.com. We may verify the request and authority of an agent. If the information is controlled by an HVAC company, we may direct the requester to that company or assist it in responding. We will not discriminate against a person for exercising applicable privacy rights.
The Services are intended for adults and businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13. Contact us if you believe a child submitted personal information.
We may update this Privacy Policy by posting a revised version and changing the last-updated date. Material changes apply prospectively, subject to applicable law.
